UPON SIGNING THE CONTRACT:

  • Initial consultation with Lead Coordinator

    • discuss vision, expectations, planning process, timeline and layout

  • Provide Planning Process and Detail Tracker

  • Provide Vendor referrals

  • Access to Event Manager via email

  • One 30 minute call each month

6-8 WEEKS PRIOR TO THE WEDDING:

  • Second consultation with the Lead Coordinator

    • venue walk thru to fine tune the layout, timeline and rain plan

    • review event details

  • Discuss pre-wedding vendor, family and wedding party communication

 

4-5 WEEKS PRIOR TO WEDDING- via phone and email:

  • Contact all vendors to verify details / delivery of their services

 

1 WEEK PRIOR TO WEDDING:

  • Provide final timeline and layout to vendors

  • Provide detailed information letter to wedding party and immediate families

 

REHEARSAL:

  • Organize and coordinate 1 hour rehearsal

 

WEDDING DAY:

  • Two Coordinators providing up to 12 hours of service

  • Oversee vendors, decorators and event set up staff at ceremony and reception sites

  • Setup and breakdown table numbers, escort cards, favors, toasting flutes, cake serving set, guest book and tossing items

  • Manage the ceremony and flow of reception

  • Troubleshoot as needed

  • Oversee vendors, decorators, and event staff during breakdown

  • Assist family with personal ceremonial items and leftover food
